Top HubSpot Updates - Monday Recap - Apr 7, 2025

Each week, HubSpot delivers new features and enhancements to help teams work smarter, not harder—and this week is no exception. Whether you're deep into reporting, segmentation, personalization, or list management, these updates open the door to better insights and streamlined marketing efforts.

Here’s a breakdown of these key HubSpot updates for the week ending April 4, 2025.

  • Lists as a Data Source in Custom Report Builder,
  • Rename HubSpot Defined Objects,
  • Send Personalized AI Videos Through Email with the HeyGen App for HubSpot, and
  • Monitor Lists Performance In New Insights Tab.

Lists as a Data Source in Custom Report Builder

You can now select 'Lists' as a Primary or Secondary data source in the Custom Report Builder.


Understanding which segments perform best based on all your marketing, sales, and service activities is essential for refining targeting, crafting relevant content, and ensuring an optimal customer experience. Having Lists as a data source will now make it possible to answer such critical requests we've heard, such as:

  • “I wish I could just (click in and) see which group cared more - this is a constant question from my team”
  • “I want to be able to input 5 lists into a report and show the list growth for each in addition to other relevant data (e.g. lead score, marketing email open/click rates, etc.)”
  • “Given we experiment with different lists, I would like to easily be able to compare what’s working best for one and then make decisions based on that.”

How does it work?

1. Go to the Custom Report Builder

2. Select Lists as your primary or secondary data source

3. Start building!

Example Reports:

  • The Deals and Deal amounts across each of your most important lists


  • See which list is progressing more contacts across lifecycle stages


  • Email open rates across your most important lists

 

Rename HubSpot Defined Objects

Admins can now configure the term they'd like to use in lieu of the HubSpot default for a particular object. For example, you might label deals as "opportunities." Once configured, "opportunities will then be reflected across most HubSpot tools.

How does it work?

Watch this short video for an overview.

Navigate to Settings>Object Library. Select details on the object that you'd like to rename and click on the pencil icon next to the object name. Enter the singular and plural terms that you'd like to swap in for that object. Once you hit save, the object name will propagate across HubSpot. You can rename any of the following objects: contacts, companies, deals, tickets, appointments, courses, listings and services.

Note: we've prioritized nickname support in features that are highly trafficked by users. You may still notice the default name in certain features including mobile.

Send Personalized AI Videos Through Email with the HeyGen App for HubSpot

The improved HeyGen app for HubSpot now helps you automate the production and distribution of personalized AI-generated videos through marketing emails. This let’s marketers create personalized video experiences at scale using customer data from HubSpot.

Why does it matter?

Before, creating videos for marketing campaigns was time-consuming and resource-intensive, making it difficult to scale personalized video content for different audiences.

Now, you can seamlessly create personalized videos for each contact using your CRM data and distribute them through HubSpot marketing emails and workflows. With HeyGen's realistic AI avatars, you can automatically generate videos that address recipients by name and include personalized content, saving valuable time and resources. You can now:

  • Automate lead nurturing with personalized videos triggered by workflows
  • Deliver custom onboarding tutorials that showcase relevant features
  • Personalize event promotions featuring AI hosts who greet attendees to drive higher attendance and better post-event connections

How does it work?

To connect the app:

  • Navigate to the HeyGen app listing in HubSpot’s App Marketplace.
  • Select Install app in the top right corner.

 

  • If you see Request to install, you’ll need to request access for the right permissions.
  • To request access, select Request to install‌, choose an administrator from the dropdown menu, and click Send email.
  • Once permissions are granted, revisit HeyGen’s app listing and click Install app.

 

  • Choose the HubSpot account you’d like to sync with the integration.
  • On the next screen, click Connect App to authorize app access to the listed HubSpot account features.

 

To confirm you ‌connected the app:

  • Navigate to your HubSpot Settings, select Integrations, and click Connected Apps. You should see HeyGen: Personalized Videos listed, confirming you’ve connected the app.

Once the app is installed, you’ll find the following assets created in your HubSpot account:

  • Two custom properties. The HeyGen Video Share Page URL property will contain the video URL, and the HeyGen Video GIF URL property will contain the preview GIF URL that can be embedded in emails.
  • An active list called [HeyGen] List of marketing contacts. This list filters those that are marketing contacts, but you can adjust the filter as needed.
  • A marketing email called [HeyGen Video] - Marketing Email. This email includes the HTML module that has the custom properties. Customize and edit the rest of the email as needed.
  • A workflow called Generate HeyGen Video for a contact. This workflow includes the previously mentioned active list as the enrollment trigger, the new custom workflow action that generates a personalized video for each contact, and the previously mentioned marketing email that will be sent to each enrolled contact.

To generate and send personalized AI videos for each contact, you’ll need to edit your assets.

  • In your workflow, click the Enrollment triggers box. Edit your criteria if you’d like to change the enrollment criteria.
  • Click Save once complete.

 

  • In your workflow, ‌click the workflow action 1.Generate a HeyGen personalized video for a contact. A left panel will appear to edit your action.
  • Enter your HeyGen API Token. This can be found by navigating to your HeyGen account settings.
  • Select the Template you’d like to use to generate your personalized videos. You can review your video templates by navigating back to your HeyGen dashboard.
  • Choose your Video quality.
  • Then, choose the variable and values for the variable. This is how you’ll personalize each video by mapping HeyGen video variables to corresponding HubSpot contact data. For example, if your variable is name, the value for the variable could be First Name.
  • Once all fields are complete, click Save.

 

  • Then edit the email delivering your personalized videos by clicking the workflow action 3. Send email.
  • A left panel will appear where you’ll see a preview of your email. To customize your email, click the email name and you’ll be taken to the email editor.
  • Once you're done editing your email and workflow, turn on the workflow to start generating and sending personalized videos for enrolled contacts.

Monitor Lists Performance in new Insights tab

Monitor the e-mail and growth performance of your top lists easily in the new Lists Insights tab.

Understanding and comparing the performance of each of your top segments helps you identify what's working and what's not.

Additionally, you can easily jump into the Custom Report Builder to dive deeper into other engagement or deal metrics.

How does it work?

In Lists, go to the Insights tab and select your top Lists. You will be able to see key metrics pertaining to size and email engagement:
